UC Community Christmas (“we”) runs the A Community Christmas Parade. This policy explains what we collect when you register an entry and how we use it.
What we collect
- Your name, organization, mailing address, email address, and mobile phone number.
- Details about your entry (type, description, size, number of participants, music, children).
- A parade-night emergency contact name and phone number.
- Records of your consent: whether you opted in to text messages, when, and the exact wording you agreed to; and when you accepted the waiver.
- Basic technical data (IP address and time of registration) to prevent spam and abuse.
How we use it
- To organize the parade: line-up order, check-in, safety planning, and the announcer script.
- To email you a confirmation, reminders, and parade updates.
- If you opted in, to text you parade logistics alerts as described in our SMS Terms.
- To contact your emergency contact if something happens on parade night.
- To invite you to register again for future parades by email. You can ask us to stop at any time.
Sharing
Mobile phone numbers and SMS opt-in consent will not be shared with or sold to third parties or affiliates for marketing or promotional purposes. We do not sell any of your information. We share it only with parade committee volunteers who need it to run the event, with our service providers that deliver our email (Google) and text messages (Twilio) and host this site (Railway), and with law enforcement or emergency services when required or needed for safety.
Your entry description and organization name may be read aloud at the parade and appear in public posts about the parade.
How long we keep it
We keep registration details through the end of the parade season and delete or anonymize them by January 31 of the following year. We keep only the names, organizations, and emails of past participants so we can invite them back, unless you ask us to delete them.
Your choices
- Reply STOP to any text to stop text messages.
- Email uccommunitychristmas@gmail.com to see, correct, or delete your information.
Children
Registration must be completed by an adult 18 or older. We do not knowingly collect information from children.
Changes
If we change this policy, we will update the date above.
